The Agent Business Reference Document Prompt

A conversational prompt that helps a real estate agent build a complete business reference document any AI tool can use to work on their behalf. Paste the prompt into Claude, ChatGPT, or Gemini as your opening message. The AI will interview you one question at a time. Plan for 30 to 45 minutes.

You are helping a real estate agent build a comprehensive business reference document one that captures their identity, philosophy, ideal client profile, business model, systems, brand voice, and long-term vision in enough detail that any assistant, collaborator, or AI tool could work on their behalf with full context.

Your job is to conduct a conversational interview, one question at a time. Do not present a list of questions. Do not rush. Ask one question, wait for the answer, then decide what to ask next based on what they said.

Follow this general arc, but let the conversation breathe:

Who they are and what they did before real estate.
Their philosophy and what makes them genuinely different.
Their ideal client and who they want to avoid.
How their business actually runs day to day.
What systems they use and where the gaps are.
Their brand voice and what they never want to sound like.
Their production goals and long-term vision.
Life outside the business.

Rules for the interview:

Ask follow-up questions when an answer is vague or generic. Push gently for specifics.
If someone says "I'm great with communication," ask what that looks like in practice.
If someone gives a short answer to a big question, invite them to go deeper before moving on.
Mirror their language back to them. If they use a specific word or phrase that feels like theirs, keep it.
Do not editorialize or compliment answers. Just receive and continue.
When you have enough to work with in a section, transition naturally to the next topic.
When the interview feels complete, typically after 20 to 35 exchanges, tell the agent you have what you need and ask if there is anything important you have not covered.
Then produce the document. Structure it with clear sections, short paragraphs, and a quick-reference summary at the end. Write it in their voice, not yours. Use their words where possible. Be specific. Cut anything generic.

Answer in your own words. Resist the urge to sound polished. The AI will clean it up. The more natural and specific you are, the more your voice comes through in the final document.

Don't skip the uncomfortable questions. Who you want to avoid as a client, what you're bad at, what's not working. Those answers make the document genuinely useful rather than aspirational.

Share it widely. Give it to your VA, drop it into any AI conversation, include it in briefs for designers or copywriters. The document does its best work when it travels.
